This article explains the datasets required for an Activity Analysis survey, and the datasets which are generated when a survey is configured. A separate article provides a step-by-step guide to configure, distribute and manage a survey.
Required Datasets
Two datasets are required to launch an Activity Analysis survey:
- A People Dataset: The employees who are to receive and complete the survey; and,
- An Activities Dataset: The taxonomy of work activities which employees can select and record time against.
People Dataset: Required and recommended properties
The following properties must be included in the People dataset:
- Email address for online IAA surveys to be distributed. (The case sensitive property key must be ‘Email)’;
- Employee ID and Manager ID for the organization hierarchy to be visualized and analyzed.
In addition, the following properties are recommended:
- Employee Name to label people in the organization structure;
- FTE to ensure total time is apportioned correctly
- Cost to calculate the cost of time associated with activities;
- Position Title to identify which positions are conducting which activities;
- Role Title to reveal whether work being performed is aligned with role responsibilities;
- Employee Grade/ Level, to analyse whether employees are conducting the appropriate level of work (grades are often used to categorize employees into Executive/ Managers/ Non-managers);
- Key Organization Dimensions, e.g., the functional departments, geographic locations, and business units used for subgroup analysis.
Activities Dataset: Required and recommended properties
The following properties must be included in the Activities dataset. The required, case sensitive property keys are also noted:
- Activity Name; the label of the activity (Key: ‘label’)
- Activity ID (Key: ‘id’), and Parent ID (Key:‘parentid’) to identify activities in the taxonomy
In addition, the following properties are recommended to categorize activities:
- Level, e.g., Strategic, Operational, or Transactional; to analyse whether work is being conducted by employees at the appropriate level);
- Activity Description to explain the work associated with the activity (Key: ‘description’)
- Type. e.g., Decision, Output, or Task; to analyse the type of work being conducted;
Further categorization properties should be included to test hypotheses and meet the business need for insight. Common examples include:
- AI/ Automation potential: the activity could be automated or supplemented through the application of AI.
- Customer facing: the activity involves direct contact with external customers.

Generated Datasets
Three datasets are created when the survey is configured via the Survey Admin application:
- People Results dataset: Enables analysis structured by the people hierarchy with data for employees rolled-up into teams and reporting lines.
- Activities Results dataset: Enables analysis structured by the activities taxonomy with data for activities rolled-up into processes and value chains.
- Links dataset: Connects each employee in the people dataset to each activity they conduct via their time allocation.
These datasets are populated as employees complete the survey.
