It is the admin(s) of the tenant that is/are responsible for keeping the tenant clean. This is an important activity for a number of reasons:
- To avoid confusion for users
- Performance gains
The tenant is kept clean by either archiving or deleting datasets, deleting packs and removing or disabling users. All of these activities are completed in settings.
Dataset management
Datasets that are no longer required, can either be archived or deleted. The decision on whether to archive or delete the datasets is up to the admin. The key distinction between the two is, archived datasets can be recovered, whereas deleted datasets cannot be recovered.
Archive dataset(s)
- Select the dataset you want to archive
- Hover over the three ellipses in the top right hand corner of settings and select ‘archive’.
- Confirm you want to archive the dataset by selecting ‘Archive’
To speed up this activity, you can archive multiple datasets at the same time. This can be done by selecting multiple datasets and selecting the ‘Archive’ button in the top right hand corner of the screen.
As mentioned, the benefit of archiving is that you can recover the datasets if needed at a later point. Follow the steps below to un-archive a dataset.
- Click on the dropdown button beside the ‘Data’ header. Then click ‘Archived Data’.
- Select the dataset that you want to un-archive.
- Hover over the three ellipses button in the top right hand corner and select ‘Un-archive’.
- Confirm the activity by selecting ‘Un-archive’.
In the same way that you multi archive, you can also multi un-archive also.
Delete dataset(s)
Deleting datasets comes with the caution that these datasets cannot be recovered.
- Select the dataset that you want to delete
- Hover over the three ellipses button and select ‘Delete’
- Confirm deletion but click ‘Delete’
Delete multiple datasets at the same time by selecting the datasets and clicking ‘Delete’.
If there are views and drafts created from a dataset that you want to delete:
- The view will be deleted
- Orgvue you will ask you what should happen to the drafts
You can decide what to do with the drafts using the radio buttons and then confirming the behaviour.
Pack management
Pack deletion
In Orgvue, when you delete a pack it can be recovered (similar to archiving functionality with datasets).
- Select one or multiple packs
- Click ‘Delete’ in the top right hand corner of the screen
Pack recovery
- To recover a deleted pack, navigate to the ‘Deleted Packs’ screen.
- Select the dataset and then click ‘Restore’.
Users
Due to the nature of the data stored in Orgvue, it is important to keep track of who has access to the tenant. Anyone that no longer needs access can be deleted or their access disabled.
Delete users
- Select the users you want to delete
- Click the trash can that appears in the pop up modal
- Confirm deletion by clicking the ‘Delete’ button
Disable access
- Select one or multiple users
- Click ‘Edit’
- Un-select the ‘Enabled’ button and click save
