How do I export to Excel (and what options are available)

The process of exporting to Excel is straightforward as it is a matter of copying (from OrgVue) and pasting (to Excel) as you would with most edit tools, however there are some subtleties of which you should be aware.

If you want to do a simple export, you initiate this by selecting copy on the top right of the OrgVue dialogue

... then click Prepare at the next dialogue

... then at the next dialogue click CTRL-C from your keyboard

... and finally ensure an Excel worksheet is open and paste the data in using CTRL-V to complete the export.

This default export will copy your present OrgVue worksheet view into Excel i.e. Excel will look identical to the source e.g.



However it is easy to miss that in addition to the 'Filtered' option there are four further options under Copy Data to Clipboard which remain hidden unless the down chevron is clicked to open the full dialogue:

 

  These options are:

  • Filtered: only those nodes which satisfy the currently set filter criteria will be included in the copy operation
  • Selected properties: only those properties selected in the Properties section of the Side panel (and which appear in the Worksheet view (if there is room for them all) will be included in the copy operation
  • Sort properties: sort properties into alphabetical order
  • Copy values: evaluate expressions (or not) where present in individual cells i.e. worksheet view . If there is an expression in a cell and copy value is not selected, expression is copied as-is: if there is an expression set in the Edit Property dialogue and copy value is not selected, copied value will be blank
  • Include generated properties: include OrgVue-derived metadata in the export e.g. isDuplicate, isLeaf, isOrphan, _id

So in most cases you will want to choose one of the dedicated options before going ahead with the Prepare step immediately prior to Export.

Please also be aware that certain options are logically incompatible with each other, which might impact what is exported

Archiving Using Export

Export is typically used for a basic archive function for the dataset (given OrgVue retains its own archives) prior to substantial dataset changes within OrgVue:

If there is a possible likelihood of exported data being reimported to OrgVue e.g. to overwrite changes, to retain complete version histories the original export *must* have the option Include generated properties set

Export troubleshooting tips

Problems are sometimes experienced with Excel along the following lines:

... data is not appearing in separate cells - instead some data is combined into one cell. ...

This problem is most likely to be seen when an existing Excel session is open and the export is into that session, and existing columns separators are "carried over" into the export from Excel.

On that basis, before trying other options try closing Excel outright, saving any other work, then reopening Excel before reattempting the export.
